1. Formation of the Awards Committee

The Awards Committee of Council for International Congresses of Entomology (C-ICE) is a standing working committee of the C-ICE (Constitution, Article V, Section 4).

The Committee consists of seven members appointed by the Chair of C-ICE, including:

  • A Chair of the Awards Committee,
  • Three members of the Certificate of Distinction Subcommittee, and
  • Three members of the Certificate of Excellence Subcommittee.

The Chair of the Awards Committee coordinates the activities of both subcommittees and oversees the overall award selection process.

2. Terms of Service of the Awards Committee

Members of the Awards Committee serve for the duration of the Chair's term of office. Their appointments conclude at the end of the appointing Chair's term unless reappointed.

3. Responsibilities of the Awards Committee

The Awards Committee is responsible for the planning, organization and overseeing of the overall nomination, evaluation, and recommendation processes for the following C-ICE awards:

  • Certificates of Distinction of C-ICE,
  • Certificates of Excellence of C-ICE.

Specifically, the Awards Committee shall:

  1. Develop and periodically revise the eligibility criteria, nomination procedures, evaluation procedures, selection criteria, and timeline for both awards, subject to approval by the Chair of C-ICE (Constitution, Article VIII, Section 5);
  2. Administer the nomination and review process in accordance with the approved procedures;
  3. Evaluate all eligible nominations and recommend award recipients to C-ICE for final approval;
  4. Maintain the confidentiality, fairness, transparency, and integrity of the award selection process.

4. Scope of Work of the Awards Committee

The Chair shall:

  1. Receive and acknowledge all nominations;
  2. Verify that each nomination package is complete and meets the eligibility requirements;
  3. Forward eligible nominations to the appropriate subcommittee for evaluation;
  4. Coordinate the review process in subcommittees and compile the final recommendations for submission to C-ICE.

Members of the Subcommittees

Subcommittee members shall:

  1. Review and evaluate all assigned nominations;
  2. Request additional information or supporting documents from nominators when necessary;
  3. Recommend a final list of candidates to the Chair of the Awards Committee.

5. Nomination and Conflict of Interest

Nominations may be submitted only by:

  • Current and Adjunct Members of C-ICE; or
  • National or regional entomological societies formally invited by C-ICE to submit nominations.

Self-nominations are not permitted.

Current C-ICE members, including Adjunct Members, are not eligible for nomination during their terms of service.

A C-ICE member who submits a nomination shall not participate in any part of the evaluation or selection process concerning that nominee. The nominator shall recuse themselves from all discussions, deliberations, evaluations, and decisions concerning the nominee.

6. Number of Award Recipients

The Awards Committee would normally recommend up to three recipients for each award category at each Congress. However, the number of recipients shall depend on the quality of the nominations received. Under exceptional circumstances, a maximum of four recipients may be selected for each award category at a single Congress.

7. Final Approval

  1. The Awards Committee shall submit its recommended recipients to C-ICE for final approval;
  2. Following C-ICE approval, the complete records of the award process—including the nominations received and final award recipients for both awards—shall be submitted to the Secretary General of C-ICE for official documentation and archiving.

8. Award Schedule

The award process should generally follow the timeline below:

  • Two years before each ICE: Call for nominations opens;
  • One year before each ICE: The Awards Committee completes its evaluation and submits its recommendations to C-ICE for approval;
  • Following C-ICE approval: Award recipients are publicly announced;
  • During the ICE: Certificates of Distinction and Excellence are formally presented at the Congress (Constitution, Article VIII, Section 5).
